Privacy notice for Parking Services

What information do you collect about me?
We are collecting your personal information in order to enable the council to meet it's legal obligation under the Road Traffic Act 1984. Your information will be used to enforce the Penalty Charge Notice and Notice to Owner under the statutory process in place, and/or to ensure parking permits are issued to valid applicants.
Why do you collect this personal information and how do you use it?
In order to carry out these services it is necessary for the council to collect and hold personal information about you.
The information we collect may include:
- name
- address
- email address
- telephone number
- vehicle registration number
- proof of vehicle ownership
- proof of residency
- CCTV and photographic evidence of your vehicle.
We may also collect data from third party organisations if a vehicle is seen in contravention of parking restrictions. Examples of this include:
- we will contact the DVLA to obtain registered keeper details
- if a vehicle is hired or leased we will request a copy of the hire or lease agreement
- if the registered keeper has sold the vehicle, we will obtain details of the new keeper
- to obtain proof of whether a valid parking session was in place.
Your data may be shared with other organisations in order for us to meet our statutory obligations. They include:
- law enforcement agencies in connection with any investigation to help prevent unlawful activity
- Traffic Penalty Tribunal service
- RingGo
- DVLA
- Chipside
- Flowbird
- Anglia Revenues Partnership
- Bristow & Sutor
- other internal West Suffolk Council services
- other local authorities.
We will only share your information with internal departments and other service providers, contractors and/or partner bodies where necessary:
- to comply with a legal or statutory obligation
- where permitted under the Data Protection Act
- where the disclosure is necessary for the purposes of the prevention and/or detection of crime
- where it is necessary to allow a third party working for or on behalf of the council.

Can I access the information you hold about me?
Your data will be kept for six years in line with our retention policy.
Under GDPR, you can ask for access to information we hold about you. This is called a data subject access request; you will need to request this information in writing. To help you in this process, please complete the online Data Subject Access Request form. You will be required to provide proof of identity in person. We must respond to you within one month – if we feel the request is complex we may ask for an extension of this period.
If the information we provide is incorrect, you must write to us and tell us what information is incorrect and ask that it be corrected. If we do not agree that the information is incorrect, you may ask us to record your disagreement – more information on your rights under GDPR can be found at: Data Protection Policy
If you wish to complain about the way in which your request has been processed then your complaint will be dealt with as a Step Two complaint in accordance with our complaints procedure
